Privacy policy

This site exists for one purpose: to organise the Orthopaedic Alumni Reunion on 5th – 6th September at Radisson Blu Resort Temple Bay. It is run by the Orthopaedic Alumni Reunion organising committee, not by a company, and it is temporary. This policy explains exactly what it collects, who sees it, and when it is deleted.
What we collect
- When you sign in with Google
- Your name, email address, profile picture, and the Google account identifier. We request only the basic email and profile permissions. We never ask for access to your Gmail, Drive, Calendar, contacts, or any other Google service.
- When you sign in with your mobile number
- Your 10-digit mobile number, and a one-time code we text you. The code itself is stored only as an irreversible hash, never in readable form, and is discarded once used or expired.
- What you type into the registration form
- First and last name, the year you joined the course, mobile number, postal address and PIN code, where you currently practise, whether you need a hotel room, your meal preference, your drink preferences, whether you are willing to contribute to costs, your travel and car-sharing details, and any notes you add.
- What the site records as you use it
- Which room you have blocked and with whom, invitations you send or receive, and seats you offer or claim in someone’s car.
- Google Analytics
- We use Google Analytics to count visits and see which pages get used, so we know the registration is working. It records the pages you open, roughly where you are, and your device and browser. It is not linked to your registration, and we don’t use it to identify anyone or to advertise to you.
There is no advertising, retargeting, or profiling on this site, and nothing is shared with data brokers.
Why we collect it
- To know who is attending and to reach you about the reunion.
- To give the hotel an accurate room list within our limited allocation.
- To give the caterer accurate meal and bar counts.
- To help attendees share rooms and cars with each other.
- To gauge who is willing to contribute towards costs.
We do not use your information for anything else, and we never sell it or share it for marketing.
What other attendees can see
Anyone signed in can see a summary page showing your name, the year you joined, where you practise, whether you are staying overnight, how you are travelling, and which room you are in.
Your mobile number is shown to other attendees only if you offer or ask for a lift, because arranging one is impossible otherwise. Your email address, postal address and PIN code are never shown to other attendees — those are visible only to the organisers.
Who else sees it
- The hotel and the caterer
- Room occupancy lists and dietary counts, as needed to hold the rooms and serve the meals.
- Services that run the site
- Google handles sign-in if you choose it, and Google Analytics counts visits. MSG91 sends the SMS code and therefore receives your mobile number. Neon hosts the database and Vercel hosts the site. These providers process the data on our behalf and are not permitted to use it for their own purposes.
The database is hosted in the United States, so your information is stored outside India.
Google user data
Information received from Google APIs is used solely to sign you in and to organise this reunion, as described above. It is not transferred to anyone except the service providers listed here, and it is not used for advertising, sold, or used to build any profile. It is deleted on the same schedule as everything else.
Cookies
One essential cookie keeps you signed in, and is removed when you sign out. Google Analytics sets its own cookies to count visits and tell a returning visitor from a new one.
There are no advertising cookies. If you’d rather not be counted, browser settings or the Google Analytics opt-out add-on will block it, and the site works exactly the same either way.
How long we keep it
This site is temporary. It will be taken offline after 8 September 2026, and the database — including every record described above — will be deleted. Nothing is archived or carried over to any other system.
Your choices
- You can correct anything you have entered at any time from Your details.
- You can leave a room or give up a car seat yourself, which removes those records.
- You can ask us to delete your registration entirely, or to send you a copy of what we hold, by emailing the address below. We will do it promptly.
- You can withdraw Google’s access at any time from your Google account permissions page.
Children
The reunion is for alumni of the orthopaedic course. The site is not intended for anyone under 18.
